Jefferson Parish Human Services Authority (JPHSA) is a Local Governing Entity (LGE) created by the Louisiana Legislature in 1989. JPHSA is responsible for the management and operation of behavioral health and developmental disability services in Jefferson Parish. JPHSA provides fully integrated primary and behavioral healthcare services through its JeffCare program.
 
JeffCare, a program of Jefferson Parish Human Services Authority, is a Federally Qualified Heath Center (FQHC) comprised of two Health Center sites. JeffCare's goal are integration of primary care and behavioral health services to best serve the needs of the population; and, empowerment of individuals to achieve improved quality of life through the provision of effective services, delivered in an environment of integrity and respect.
  
 60%     Provides reporting and monitoring to support regulatory submissions

  • Compiles data submitted by various sources within JeffCare, enters into report templates, and submits to the designated JPHSA staff member by due dates to meet monthly and quarterly reporting requirements;
  • Assist the JeffCare Director and Assistant Director with project management to ensure deliverables are met
  • Assist the JeffCare Director and Assistant Director with monitoring of Corrective Action plans
  • Assist the JeffCare Director and Assistant Director with report development as needed
  • Assist the JeffCare Director and Assistant Director with submissions deadlines for Patient-Centered Medical Home (PCMH), Council on Accreditation (COA), Health Resources and Services Administration (HRSA) grant, and Uniform Data System (UDS) reporting
35%    Provides Administrative Support duties
Provides clerical and administrative support including but not limited to scheduling meetings and submitting requests for any needed Information Technology (IT) or FARM support, taking minutes, sorting and distributing incoming mail, preparing outgoing mail, maintaining a supply inventory, preparing purchase requisitions, making copies, scanning documents, filing, submitting electronic requests for maintenance/ repairs, and making travel arrangements.
 
  • Handles logistics for JeffCare division meetings including dissemination of agendas and taking minutes;
  • Opens, sorts and distribute incoming correspondence, including faxes for the JeffCare Division Director and JeffCare Assistant Division Director;
  • Completes travel authorizations and all associated forms for the JeffCare Division Director and JeffCare Assistant Division Director;
  • Types reports, memos, letters and other documents using word relevant computer software;
  • Records, types and distributes meeting minutes;
  • Performs general office duties such as submitting requisitions for supplies and maintaining a supply inventory;
  • Assists with organization and maintenance of network access documentation;
  • Organizes and executes community outreach activities in compliance with JPHSA procedure;
  • Works with the JPHSA Communications Officer to maintain an inventory of JeffCare promotional items and monitors distribution of same in adherence to JPHSA procedure.

  5%         Performs other duties as assigned to meet JeffCare/JPHSA needs.
  • Participates in supervision per JPHSA Staff Development and Supervision Guidelines;
  • Completes all required trainings to enhance skill development, program effectiveness, JeffCare/JPHSA procedural/policy compliance and accreditation standards.
 
Physical Requirements
This position is largely a sedentary role. Occasional light lifting (up to ten pounds) and/or unpacking of office supplies and promotional materials. The incumbent regularly operates a computer, printer, phone, copy machine, and other office machines. He/she remains in a stationary position 50% of the time in order to accomplish work tasks.
 
Preferred qualifications:
Three years of experience in which clerical work was a major duty that includes two of those years working in an electronic health records system.
 
Experience in working with individuals with a Behavioral Health diagnosis in a fast-paced Federally Qualified Health Center (FQHC).
 
Experience in regulatory submissions and reporting.

Qualifications

MINIMUM QUALIFICATIONS:

Three years of experience in which clerical work was a major duty.

SUBSTITUTIONS:

Training in a business or clerical-related curriculum in a business school or technical institute will substitute for the required experience on the basis of six months of training for six months of experience for a maximum of one year of the required experience.

Completion of a business or clerical-related curriculum in a business school or technical institute will substitute for a maximum of one year of the required experience.

College training will substitute for the required experience on the basis of 15 semester hours for six months of experience.

NOTE: 

Business or technical school training with less than completion will only be credited in six month increments. Similarly, college training will only be credited in 15 semester hour increments.

NOTE: Any college hours or degree must be from an accredited college or university.
