Overview

Position Overview:

Under general supervision provides clerical and administrative support, to include but not limited to record keeping, telephone operation, receiving & dispatching information, and work task processing.

Duties and Responsibilities:

  • Performs clerical tasks such as typing, filing, copying, mail distribution, scheduling, generating reports and presentations, ordering office supplies, and answering the telephone.

  • Provides administrative support and daily communication with the supervisor as needed in the daily operation of the section.

  • Receives and processes work task requests daily on the County’s computerized facilities management system, distributes and dispatches per supervisor’s instructions using cell phones, radios, and e-mail in a timely manner.

  • Required to communicate with tenants, vendors, and utility companies in emergency situations or in response to fire alarms.

  • Collects information and prepares purchase order requests and receiving reports to submit to the appropriate section for processing.

  • Acts as the liaison with the central office and disseminates information such as department job openings, employee benefits, events, meetings, and training opportunities, and assists co-workers with using the county website as a resource for employee information.

  • May be required to drive personal vehicle to various facilities.

  • Performs other duties as assigned.

Requirements

Education:

  • High School graduate or G.E.D. equivalent.

Experience:

  • One (1) year general office or clerical work experience. Advanced education and experience may be substituted for one another.

Knowledge, Skills, and Abilities:

  • Must have good verbal and written command of the English language including grammar, spelling and punctuation and communicate effectively on a routine basis with other departments, contractors, vendors, user tenants and co-workers.

  • Ability to handle highly sensitive and confidential information at all times.

  • Must be proficient in the use of office machines such as copier, printer, and scan machine.

  • Must have good computer operation skills and be well versed in Microsoft Office.

  • Must have good organizational skills.

  • Ability to receive CJIS clearance, pass a security check and a drug test, as required. This position is Safety Sensitive and will be subject to random drug and alcohol screening.

Licensure:

  • Must maintain a valid Texas Driver’s license.
