Minimum Qualifications

Chesterfield County Planning Department is seeking a motivated individual to provide administrative support to the Planning Operations & Efficiency Team. We are seeking an experienced candidate to serve as a key member of our collaborative and motivated team.
Here’s What You Need:
High school diploma or GED; minimum three years of increasing administrative experience; or an equivalent combination of training and experience. Prior minute taking experience preferred. The successful candidate will possess excellent verbal and written communication skills with the ability to manage multiple projects simultaneously; have the ability to interact effectively with all levels in the organization; develop and maintain effective working relationships with internal and external customers; actively participate in teamwork to create a positive working environment, be a self-motivator with the ability to work independently; be proficient in the use of Microsoft Office programs (i.e. Word, Excel, Outlook); possess knowledge of standard office practices, procedures and equipment; proofread documents for spelling, punctuation, and grammar; be able to interpret and apply administrative and departmental policies. Experience in local government or planning & zoning environment is desired. Salary offered will be based on qualifications and experience. Current valid driver’s license and good driving record required. Based on the Virginia DMV point system, record must not reflect a total of six or more demerit points within the twenty-four months preceding the anticipated hire date, or one major violation of six demerit points within the preceding thirty-six months. Out of state driving records must be obtained by applicant and presented at time of interview. Records must reflect at least three years of history and be dated within thirty days of interview date. Pre-employment drug testing, FBI criminal background check and education/degree verification required.
The Essential Functions:

• Attend meetings of the Board of Zoning Appeals and prepare minutes

• Organize, prepare, and disseminate items of business, documents, agendas and supporting materials for Board of Zoning Appeals meetings
• Coordinate legally mandated notices and advertisements
• Coordinate notification process for adjacent property owners and localities
• Prepare letters, perform data entry, record Selectron notices, proofread and archive meeting documents
• Reviews finished materials for completeness, accuracy, format, compliance with department policies and procedures
• Coordinate Administrative Variance process
• Assist Clerk to Planning Commission at monthly Planning Commission meeting proceedings and compose minutes of said meetings on a rotating basis, serve as back-up
• Perform accounts payable functions, inventory and order office supplies in a back-up capacity. Perform other work as required.

Evening work hours required.
